About the Role
The Faculty of Fine Arts and Music at the University of Melbourne is seeking a Senior Timetabling Officer to play a pivotal role in shaping the academic timetable and space management strategy.
This role is central to ensuring the efficient use of space and resources, supporting academic staff, and enhancing the student experience. Working within the Timetabling and Room Bookings team, you will lead the development and implementation of processes that align the Faculty’s specific scheduling needs with broader University protocols.
An excellent communicator, you will engage with academic staff, infrastructure teams, and campus services to design and deliver timetabling solutions that support teaching, learning, and other Faculty activities.

Your responsibilities will include:
- Coordinate academic subject timetabling, class registration configuration, ad hoc and external bookings in consultation with academic and professional staff within the Faculty.
- Apply University policies, processes and systems for the effective management of timetabling and scheduling functions.
- Supervise staff members (ongoing and casual) by providing in-depth system, process and policy training and ongoing support.
- Effective representation on central University timetabling working groups including practice leader groups.
- Actively contribute to the development and implementation of local department teaching and learning space management plans, so that teaching space and subject timetabling offers optimal learning experiences for students.
- Support communication channels between faculties, departments and central services in relation to planning for future space requirements as they relate to the academic programs and examination timetables;
Who We Are Looking For
We are looking for a highly organised professional with proven experience in timetabling or scheduling within complex environments. You will bring strong project coordination skills, the ability to collaborate with diverse stakeholders, and technical proficiency in computing and database systems.
Your excellent organisational skills, attention to detail, and ability to manage competing priorities will shine, along with your interpersonal skills to foster productive relationships in a creative arts setting.
You will also have:
- A degree with subsequent relevant experience or an equivalent combination of relevant experience and/or education/training.
- Demonstrated experience in timetabling and/or scheduling within a large complex environment
- Experience in planning and coordinating annual projects and the ability to collaborate with stakeholders in the development and achievement of specific goals and objectives.
- Technical proficiency in general computing and the use of databases and the ability to learn and implement software systems and solutions.
- Highly developed organisational skills and capability for multi-tasking and prioritisation, problem solving and effective time management.
