About the Role
The Administration Lead (AL) reports to the Health Service Manager, providing high-quality administrative oversight to ensure efficient operation of the Health Service. The AL oversees administrative staff, maintains effective working relationships, and ensures professional service delivery, while also leading and mentoring the administrative team. The role involves a variety of tasks, including medical reception support, database maintenance, financial management, and additional functions as needed.

Your responsibilities will include:

  • Ensure that the policies of the University and Health Service are followed at all times
  • Provide broad oversight, supervision, and assistance to agency staff and Administration Assistants, under the direction of the Manager, to enable them to provide a high level of support to the functions of the Health Service.
  • Delegate tasks effectively to ensure the Health Service functions effectively
  • Ensure administrative staff engage with patients in a welcoming and empathic manner


Who we are looking for
The ideal candidate can manage different personalities and work unsupervised, demonstrating sensitive and empathetic communication with a wide range of people. They excel in collaborative team environments, exhibit initiative and respect, possess strong problem-solving and negotiation skills, and handle sensitive material professionally to assist concerned patients.

You will also have:

  • The appointee will have:  Tertiary qualification, such as a Bachelor Degree or Division 2 Nurse or Medical Administration or an equivalent combination of relevant experience and education/training.
  • Demonstrate the University Services Values of University First by acting in the best interest of your employer; displaying Service Excellence by striving to deliver beyond expectations and taking ownership of the delivery; and value working collaboratively as One Team, connecting with people and building relationships in your workplace. 
  • Experience as an administrator leader, in a medical practice using a computerised appointment and medical management software package.
  • Sound knowledge of Microsoft Word, Excel and Microsoft Outlook

This role requires the successful candidate to undergo and maintain an up-to-date Working with Children Check. This is essential to guarantee a secure environment for all individuals at the University. In the case the selected candidate doesn't have a valid Working with Children Check, they will be able to apply for the WWCC as part of the initial onboarding procedures.
